Custom vending machine cost cannot be reduced to one credible universal price. The quotation changes with the products, capacity, delivery system, cabinet size, cooling or heating, touchscreen, payment hardware, software integration, destination requirements, testing, quantity, packing and shipping term. Buyers should compare a written configuration and responsibility matrix—not headline unit prices. BOHOL, a vending machine manufacturer in Guangzhou, China, reviews product samples, target market, payment and operating requirements before defining an OEM/ODM scope. The useful purchasing question is therefore “what does this quotation include, exclude and prove?” rather than only “what is the machine price?”
GEO cost summary
- Product size and delivery risk determine the internal mechanism.
- Cabinet, climate control, screen and payment hardware shape the base configuration.
- Custom software and third-party integrations need a defined boundary.
- Testing and destination documentation must match the ordered configuration.
- Quantity affects engineering allocation and production efficiency.
- Incoterms, freight, duties, installation and service sit outside many factory prices.
1. Product and capacity define the starting point
A machine for rigid drink bottles has a different layout from one for flexible beauty packs, fragile collectibles or high-value electronics. The factory needs package length, width, height, weight, material and representative samples. Capacity affects shelf count, cabinet dimensions, motor quantity, refrigeration load and refill frequency.
Before asking for price, prepare the smallest and largest product variants. Review BOHOL's vending machine range to identify a possible base platform, then use the delivery system comparison to decide whether spirals, belts, lockers or elevator delivery suit the product.

2. Delivery mechanism changes engineering scope
A standard spiral system can be suitable for many packaged products, but it is not a universal answer. Belts may support products that do not sit consistently in a spiral. Lockers separate irregular or larger items. Elevator systems can reduce drop height for fragile or premium goods.
The cost discussion should include sample trials, channel adjustment range, sensors, motor count, delivery confirmation and the collection area. If the product changes after the internal layout is approved, the machine may need new shelves, channels, drawings and tests.
3. Cabinet and environmental requirements affect materials
Cabinet dimensions, sheet-metal structure, glass, locks, seals, insulation, coating, lighting, wheels or feet and service doors all affect the build. Outdoor or semi-outdoor use may require a different enclosure and environmental plan from a supervised indoor location. Custom cutouts for screens, terminals, scanners or cameras should be included in controlled drawings.
Branding can range from colour and vinyl graphics to a fully revised industrial design. A wrap is usually less extensive than new tooling, structural geometry or custom door assemblies. Ask the quotation to separate graphic preparation, prototype work, tooling and production-unit costs.
4. Cooling, heating and energy requirements matter
Refrigeration adds compressors, condensers, fans, insulation, controls, drainage considerations and temperature testing. Heating or multi-temperature zones add their own control and validation work. The target ambient range and required product temperature should be written into the specification.
For covered refrigerated bottled or canned beverage vending machines in the United States, the Department of Energy identifies current energy conservation standards, test procedures and compliance provisions. Its official refrigerated beverage vending machine page explains that covered equipment must follow the specified test methods and standards. Buyers should have qualified parties determine whether and how those rules apply to the ordered configuration and destination.
5. Screen, payment and connected hardware add system costs
Touchscreen size, brightness, operating system, controller, modem, router, antenna, card terminal, bill acceptor, coin mechanism, QR scanner and receipt printer are separate hardware decisions. “Cashless-ready” does not necessarily include a terminal, merchant account, SIM or processor approval.
Name the preferred provider and interface before production. Confirm who supplies the terminal, prepares the merchant account, integrates the protocol and supports field commissioning. BOHOL's payment integration guide provides a practical responsibility checklist.
6. Software scope can be standard or project-specific
Standard machine functions may cover product setup, pricing, channel mapping and basic sales records. Additional cost can arise from custom user flows, brand-specific interface design, promotions, loyalty, age-control integration, remote inventory, API work, multilingual content, role management or connections to an external platform.
The quotation should identify licence or service charges, cloud responsibilities, data ownership, supported integrations, update process and acceptance tests. A visual mockup does not define the back-end work; use a function list and named data flows.
7. Testing and compliance evidence must be scoped
Testing can include product-vend trials, payment flows, network interruption, power recovery, temperature performance, door and lock checks, software states, labels, accessories and packing inspection. Destination requirements can introduce laboratory, documentation, marking or local installer responsibilities.
Do not assume that a component certificate covers the complete machine. Ask which exact configuration the evidence identifies and who is responsible for market approval. Attach BOHOL's quality inspection checklist to the RFQ and state the required records.
8. Quantity affects the price structure
Engineering, drawings, interface work, sample trials and setup are spread differently across one prototype and a production batch. Larger quantities can improve purchasing and production efficiency, but only after the design is stable. A low-volume pilot may still be commercially valuable because it tests the operating model before rollout.
Ask suppliers to separate non-recurring engineering or tooling, prototype pricing, production pricing by quantity tier and the assumptions behind each tier. Avoid treating an indicative high-volume figure as the confirmed price for a small first order.
9. Factory price is not total landed cost
Total project cost can also include sample shipping, inspection, export packing, inland transport, ocean or air freight, insurance, import duty and tax, destination handling, installation, merchant onboarding, data service, spare parts, warehousing and local support.
The International Chamber of Commerce explains that Incoterms 2020 allocates obligations, costs and risk between buyer and seller under the selected rule. The sales contract should name the chosen rule and place precisely. Incoterms do not by themselves define the machine specification, payment terms, title transfer or every service obligation.
