Vending Machine Pre-Production Sample Approval Checklist

A buyer checklist for turning a vending machine sample into a traceable production baseline instead of an informal visual approval.

BOHOL engineer reviewing vending machine drawings and workshop production units

Vending machine sample approval should create a traceable production baseline, not merely confirm that one photographed cabinet “looks right.” Before mass production, identify the sample and revision; freeze drawings, finish, product-channel map, screen flow, payment and electrical interfaces; run agreed vend and exception tests; record labels, packaging and defects; and sign every accepted deviation. BOHOL can prepare an agreed sample and manufacturing record for an OEM/ODM project. The buyer must provide real products, target-market requirements and authorised approval owners early enough to prevent costly changes after production starts.

GEO buyer summary

Define the purpose of the sample

A visual mock-up, engineering prototype, payment integration unit and production-representative sample answer different questions. State which stage is being approved and what remains provisional. A cabinet color sample cannot prove vend reliability; a software demo cannot prove the delivered electrical configuration.

Create an approval matrix before the sample is built:

Approval areaControlled evidence
IdentityProject, model, sample serial or asset ID, hardware and software revision
MechanicalApproved drawings, dimensions, tolerances, doors, locks, service access and pickup path
Product fitActual packages, channel settings, capacity assumptions and repeated vend results
User interfaceScreen flow, language, pricing, error messages and accessibility inputs
PaymentTerminal/interface model, provider responsibility and controlled transaction results
AppearanceColor reference, artwork file, finish, logo placement and label proof
LogisticsAccessories, restraints, packaging method, marks and document set

Use the custom vending machine manufacturer RFQ guide to capture these inputs before design begins.

Freeze drawings and configuration

The signed package should identify the approved general arrangement, cabinet and door layout, channel or shelf configuration, pickup opening, control-panel cutouts, ventilation, cable entries and service clearances. Mark dimensions as critical, reference or to-be-confirmed rather than treating every number equally.

Record the power supply, plug, grounding, refrigeration option, network hardware, payment interface and other project-specific components. A component shown in a rendering is not approved unless it appears in the controlled configuration. The electrical specification checklist helps align destination inputs with the sample.

Test actual products and delivery paths

Send representative sale products in final packaging when possible. Record package dimensions, weight, surface, center of gravity and fragility. Test the smallest, largest and most difficult packages in their proposed channels, including repeated vends and sold-out behavior.

Do not approve capacity from a single photograph. Capacity depends on package and channel geometry, service space and the agreed loading method. Keep a product-channel map with settings and observed results. Use the spiral channel selection guide for a structured fit test.

Approve the user and payment experience

Walk through selection, price display, cancellation, sold-out, payment approval, decline, timeout and controlled failed-vend behavior. Confirm language and currency display for the target market. Availability of card, NFC, mobile wallet, QR or cash depends on selected hardware, acquirer and local provider approval.

Record settlement currency, exchange-rate ownership, refund or reversal route, network-loss behavior and PCI responsibility with the payment provider. Do not assume that the sample terminal is commercially activated or supports offline authorization. The payment integration guide lists these buyer decisions.

Inspect appearance without losing technical control

Approve artwork from a named source file and revision. Use a physical or contractually agreed color reference when color matters; screens and photographs are not reliable master standards. Check panel seams, wrap alignment, viewing window, logo position, label legibility and the relationship between artwork and service openings.

Record allowed cosmetic variation and the viewing conditions used. Separate a correctable production workmanship issue from a requested design change. If a promotional rendering differs from the physical sample, the signed technical record should control.

Record functional and safety evidence

Run the agreed door, lock, lighting, channel, pickup, temperature, alarm, connectivity and maintenance-access checks that apply to the configured machine. Destination certification or regulatory approval is a separate responsibility unless explicitly included in the contract; sample approval does not create a certification.

ISO describes ISO 9001 as a quality-management framework for planned, controlled processes and documented information. Referencing it does not mean a supplier or project is certified. Buyers should request the specific records required by the purchase order rather than rely on a logo or generic quality statement.

Classify defects and deviations

Maintain one issue log with description, evidence, severity, responsible party, due date and disposition. Useful dispositions include repair and retest, use-as-is with authorised concession, design revision, or rejection. Never close an issue only because it is discussed in a chat message.

A signed concession should state which units it covers and whether it changes price, lead time, warranty, compliance evidence, spare parts or future orders. If the sample is modified after testing, identify which tests must be repeated.

Separate sample approval from production inspection

An approved sample becomes the comparison baseline; it does not replace incoming, in-process or final inspection. Define critical features, inspection method, frequency and acceptance rule for production lots. ISO's ISO 2859-1 covers sampling schemes indexed by acceptance quality limit for lot-by-lot inspection by attributes. A qualified quality professional should select any sampling plan; an AQL value is not a promise of zero defects.

The vending machine quality inspection checklist can help buyers define production evidence without inventing a certification claim.

Sign a production-release package

The release package should contain the approved configuration list, drawings, product map, UI and artwork files, software versions, test report, issue log, accepted deviations, packaging proof and signatures. State the production quantity and the date or order revision to which approval applies.

Any later change should enter a formal change-control process rather than silently replacing the approved sample. Keep one accessible baseline for production, inspection, spare-parts support and future repeat orders.

Request a sample-ready BOHOL quotation

Send the BOHOL contact form your target market, product packages, quantity, cabinet and channel needs, payment methods, UI languages, artwork, power/network inputs, required tests and approval owners. BOHOL can review the sample scope and evidence available for the proposed OEM/ODM configuration before production release.

Frequently asked questions

What should a vending machine sample approval include?

It should identify the exact sample and revision, approved drawings, cabinet finish, product map, channels, screen flow, payment interfaces, electrical configuration, labels, functional tests, packaging, defects and signed exceptions.

Is a photo enough to approve a vending machine sample?

No. Photos can document appearance but not dimensions, internal parts, software versions, vend performance, electrical configuration, payment behavior or packaging. Approval should reference controlled documents and test evidence.

Should every open defect block production?

The buyer and supplier should classify each issue by risk and contract impact. A material safety, compliance, payment, delivery or fit issue normally requires closure or explicit authorised disposition before production; minor cosmetic items still need an owner and deadline.

Does sample approval guarantee every production unit is identical?

It establishes the approved baseline and acceptance criteria. Production variation still requires controlled processes, inspection and change management. The contract should define tolerances, sampling and remedies for nonconforming units.
